Recently, a colleague vented frustration after opening a freelance-submitted Google Doc and spotting an unknown viewer—clearly not on our team.
The issue? The writer, eager to share, had accidentally set it to public access. This exposed an unedited draft to the world, risking leaks and mischief—a nightmare for any publication.
Recall the June 2021 fiasco when an editor tweeted an editable doc link during a site outage. Chaos followed.
Public viewing, commenting, or editing invites trouble, especially if links spread. Google Docs defaults to private sharing—you must opt in to broaden access (unless your work admin overrides this).
Here's how to share securely.
Open your doc and click the Share button in the top right.

The "Share with people and groups" dialog appears.

Enter names or emails below. Contacts autocomplete; add multiple for uniform access.

Select permissions from the dropdown:

Choose the least permissive option that fits: Editors for collaboration, Commenters for feedback without changes.
Pro Tip: Track edits via File > Version history > See version history. It highlights changes by user and date.

Fine-tune via the gear icon: Disable permission changes, sharing, or downloads/prints/copies.

Check "Notify people" to email recipients with a custom message.
Below, the "Get link" defaults to Restricted (sharers only). Copy it for secure sharing, e.g., via SMS.

Change to Anyone with the link for wider access, but set Viewer/Commenter/Editor limits. Avoid if privacy is key—links can spread.
Tap the three dots > Share & export > Share.
