Google Calendar is a powerhouse scheduling tool used by millions daily for appointments, events, and goal setting. As a longtime user who relies on it for both work and personal life, I've honed these 10 practical tips to help you get the absolute most out of it. These steps work seamlessly on the web version (similar on mobile apps too). Note: Screenshots here use a dark theme via my Chrome extension.

Next to the calendar you want to share, click the three-dot menu and select Settings and sharing.

To make it public, choose Make available to public and grab the shareable link—anyone with it can view the calendar.

For specific people, click Add people, enter names or emails, and set permissions like view-only or edit access.

If you're the organizer, click the event and select Delete, then customize a message for guests.


If invited, use Decline or Remove, add a note, and indicate your availability.

In the left sidebar, click the + next to Other calendars and select Create new calendar.

Add a name, description, and time zone. Ideal for separating work, personal, or hobbies—and share as in tip #1.

For rescheduling, open the event, select Suggest new time alongside Yes/No/Maybe, add notes—the organizer decides.
Click the three-dot menu by the calendar, pick a color or enter a custom hex code for precise branding.

Enable Birthdays under My calendars to auto-pull from Google Contacts.

Manually add via contacts, events, or reminders.

Create an event, click Add guests, enter emails/names, add details/location, and save to send invites.

With organizer permission (Invite others enabled), forward invites to add more guests.

To move events: Sync calendars (e.g., to Outlook via Gmail), use Add to calendar, or import .ICS files.
Three-dot menu > Settings and sharing > Scroll to Delete.
